Getting Started with Microsoft Planner for Task Management
Introduction
On Day 15 of my Microsoft 365 learning journey, I explored Microsoft Planner, a task management tool designed to help teams organize work, collaborate efficiently, and track project progress.
Planner provides a visual and collaborative way to manage tasks, similar to Kanban boards used in many project management tools.
It integrates with several Microsoft 365 services including:
- Microsoft Teams
- Outlook
- SharePoint
- Microsoft To Do
This makes Planner a powerful tool for team coordination and project tracking.
What is Microsoft Planner?
Microsoft Planner is a project and task management application included with Microsoft 365. It allows teams to create plans, assign tasks, monitor progress, and collaborate within a centralized workspace.
Planner uses boards, buckets, and tasks to organize work.
Key Components of Microsoft Planner
1. Plans
A Plan represents a project or group of tasks.
Example:
- Website Development Plan
- Marketing Campaign Plan
- IT Infrastructure Upgrade
2. Buckets
Buckets help categorize tasks inside a plan.
Example:
- To Do
- In Progress
- Review
- Completed
3. Tasks
Tasks represent the individual work items assigned to team members.
Each task can include:
- Description
- Checklist
- Attachments
- Due dates
- Assigned members
Step-by-Step Guide: Creating a Plan in Microsoft Planner
Step 1: Access Microsoft Planner
- Go to office.com
- Sign in with your Microsoft 365 account
- Click the App Launcher (9 dots)
- Select Planner
Alternatively, you can access Planner directly:
Step 2: Create a New Plan
- Click New Plan
- Enter a Plan Name
Example:
IT Project Tasks
- Choose Privacy setting
Options:
- Public – anyone in the organization can see it
- Private – only invited members can access
- Click Create Plan
Step 3: Create Buckets for Task Organization
Buckets help group related tasks.
Steps:
- Click Add New Bucket
- Enter bucket name
Example buckets:
- Planning
- Development
- Testing
- Deployment
Step 4: Create Tasks
Steps:
- Click Add Task
- Enter task name
- Set Due Date
- Assign the task to a team member
- Click Add Task
Example tasks:
- Prepare project documentation
- Configure server environment
- Test application deployment
Step 5: Add Details to Tasks
Click a task to add more information.
You can add:
✔ Task description
✔ Checklist items
✔ File attachments
✔ Comments for collaboration
Example checklist:
- Install dependencies
- Configure database
- Deploy application
Step 6: Track Task Progress
Planner provides visual tracking features.
Tasks can move between stages:
- Not Started
- In Progress
- Completed
You can drag tasks between buckets to update their status.
Planner also provides Charts view, which shows:
- Task status summary
- Workload distribution
- Progress overview
Integration with Microsoft Teams
Planner integrates directly with Microsoft Teams.
Steps to add Planner in Teams:
- Open Microsoft Teams
- Go to a Team Channel
- Click + (Add Tab)
- Select Planner
- Choose an existing plan or create a new one
This allows teams to manage tasks directly inside Teams.
